Free primer: how to fill out a W-4. Calculator: 2026 gross-to-net. Paid steps below assume you already know the form has no allowances and you want a number for Step 4(c).
Do this in order
Pull last year's return and this year's last stub. AGI, refund or balance due, filing status, and whether you had two W-2s. A $2,800 refund is the starting clue, not a personality trait.
Open the paycheck calculator with this job only. Match gross, frequency, traditional 401(k) %, HSA, and pretax health. If take-home on the page is within ~$40 of the stub, the model is close enough to size extra withholding.
One job, no side income: leave Step 2 blank, put credits on Step 3 of this form only, leave 4(c) at $0 unless last year you owed. You are done in ten minutes.
Two similar W-2s (yours + spouse, or two of yours): check Step 2 on the higher-paying job only. Do not check it twice. Put all Step 3 credits on the higher job. If pay is uneven, skip the checkbox and use 4(c) from the calculator's “other household income” field — enter the other salary there.
1099 / gig income with no withholding: do not pretend a W-4 can replace quarterly estimates if the gig is large. For a small side hustle, enter the expected net profit as “other income” in the calculator and put the suggested 4(c) on the W-2 job. Calendar Form 1040-ES if extra withholding would have to be huge to cover it.
Bonus coming: supplemental 22% federal is common. If you live in 12%, you will get some back. If you live in 32%+, add a one-month 4(c) bump or pay a 1040-ES for the gap. Do not rebuild the whole form around one check.
New W-4 at HR the same week. Ask when it hits payroll (often the next cycle, not this one). Screenshot the confirmation. If you are mid-year, extra withholding only covers remaining checks — multiply 4(c) by remaining periods, not 26.
After two stubs, compare. Federal YTD ÷ remaining expected gross should look like the effective rate the calculator printed. If April still scares you, raise 4(c) by $25 and wait one cycle. Do not oscillate every week.
State form is a separate document in many states. A perfect federal W-4 does not fix a state that still uses allowances. Search “[state] withholding certificate 2026.”
Do not use a giant refund as a savings plan. Cut 4(c) once you are close, then autopay the difference to a HYSA on payday. Same friction, you keep the yield. See paycheck to investing.
One-page decision
Single job, W-2 only: status + Step 3, stop. Two jobs: Step 2 on the larger check or 4(c) sized off the other salary. Gig income: 4(c) if small, 1040-ES if not. Bonus: ignore unless you are in 32%+. Recheck when you marry, divorce, have a kid, or add a job — not when a raise crosses a bracket.
